Project Manager Open Position

The project manager is responsible for working under the direction of the production manager and with other relevant team members to ensure full delivery and completion of a construction project, within budget, with an on-time schedule, and with a happy client. In addition to leading the project while in production, this position requires professional, problem-solving, communication, and management skills to run all on-site activity, all project-related administrative tasks and to build the project in accordance with the drawings and scope of work (contract). In summary, the project manager is the de facto person in charge of the project in its entirety. The project manager is responsible for all project-related work, which can include, but is not limited to: planning and scheduling, assigning work, general supervision, quality assurance/quality control, budget management, and all client communication. The project manager is also responsible for the security and welfare of the clients’ property on any
jobsite or warranty property. Both the quality of work and the appearance of the site reflect strongly on the project manager and company overall.

Summary of Responsibilities

The project manager is responsible for aspects of a job during production and has the following duties at the following phases of the project. Job description includes, but is not limited to:

Final Sales Phase

  • Attend trade walk through on site (Sales, owner, production manager, estimation,
    project manager, and all related trade partners will attend) and provide input to trade
    walk team
  • PM to document and provide written documentation of all findings, clarifications, or
    changes required based on walkthrough to estimation within 24 hours of trade walk
  • Receive project scope of work from sales or estimation a minimum of 48 hours in
    advance of internal final review meeting. If scope is not sent 48 hours or more prior to the
    meeting, notify the production manager so that they can contact sales or estimation.
  • Read and review scope twice for base level understanding of project
  • Attend internal final review and provide input


Pre- Production Phase

  • Attend preproduction turnover meeting for full handoff of project
  • Review final contract against, budget, specs, and final construction drawings. Issue any
    and all redlines, as needed.
  • Create project schedule on BuilderTrend, including all homeowner milestone payment
    dates.
  • Reach out to homeowner to schedule kick-off meeting, and schedule it at least one
    week prior to job start.
  • Notify initial trades of projected start dates and schedule their crews for ground break.
  • Order doors, windows, framing materials, temporary framing materials, or any other
    production-ordered items with long lead times.
  • Review final ID drawings and specs for completeness. Issue any and all redlines, as
    needed.
  • Schedule field crews or trades required for a site protection walk. Establish all material
    needs, and schedule crews that will be performing the work for the Wednesday prior to
    groundbreak.
  • Attend kick-off meeting with homeowners
  • Schedule any pre-start inspections (BMP/Site Initial, as required by jurisdiction)
  • Order dumpster and job site toilet for delivery


Production Phase

  • Run day-to-day production operations
  • Hold weekly meetings with clients and maintain routine communication about all jobsite
    related information. PM is expected to respond within 24 hours to all client communication.
  •  Attend weekly PM site meetings with the production manager
  •  Review budget-to-actuals once every two weeks with the production manager. PM
    expected to provide insight into financial grip and slip, including explanations for line
    items, at each budget to actuals meeting
  • Maintain construction schedule and organizing all trades for onsite labor. Maintain trade
    relationships
  • Maintain construction budget, control expenses, and approve invoices sent from finance
    department
  • Maintain all BuilderTrend daily logs, schedule items, and perform all other BT
    administrative tasks
  • Complete weekly SmartSheets recap form every week 3
  • Schedule and attend all required inspections
  •  Provide notice to design and additionally required parties for the following required site
    reviews and inspections. Notice to design should be provided no less than three business
    days before the day of the walkthrough:
    •  Cabinet field measure and layout

    • Electrical walkthrough

    • Pre-drywall rough-in walk

    • Tile layout walkthrough

    • Cabinet install review (design will also attend soonest weekly meeting with
      homeowner after install to verify with homeowner)

    • Project walkthrough at time of final clean

  • Research, build, and present to clients all project change orders throughout life of job
  •  Maintain project cleanliness and material organization and neatness on site, throughout
    life of project
  • Maintain onsite information station to include drawing sets, permit documentation,
    cutsheets, project specs, and any other required construction documentation
  • Perform all material takeoffs, as required, for all construction related material, and order
    materials accurately, per needs of job.
  • Perform quality assurance and quality control tasks, using CSDR checklist system as
    guidance
  • Maintain zero punch through all phases of construction. PM expected to schedule work
    proactively, as to avoid punch at point of project closeout
  • Perform project close-out and 60 day and 1 year warranty meeting scheduling tasks
  • Attend 60-day warranty visit with homeowner
  • Attend the project autopsy
